Inventory Management

Manage stock items, groups, units of measurement, warehouses, batches, stock journals, and track stock movement with valuation reports.

Stock Items

Each product or service you sell/purchase is a Stock Item.

Item Fields

  • Name & SKU — Unique identifier per company
  • Description — Detailed product description
  • HSN/SAC Code — For GST compliance (auto-filled during invoice)
  • GST Rate — Default tax rate (0%, 5%, 12%, 18%, 28%)
  • Cess Rate — Additional cess if applicable
  • Taxability — Taxable, Exempt, Nil-Rated, or Non-GST
  • Type of Supply — Goods or Services
  • Sale Price / Purchase Price — Default rates
  • Unit of Measurement — Link to UOM master
  • Stock Group — Hierarchical categorization
  • Opening Stock — Opening quantity, rate, and value (for mid-year start)
  • Reorder Level — Minimum stock threshold
  • Batch Tracking — Enable/disable batch management per item
  • Costing/Valuation Method — FIFO, Weighted Average
  • Item Aliases — Alternate names (for vendor-specific naming)

Stock Groups

Hierarchical product categorization (like Tally's stock groups).

  • Self-referencing tree structure (parent → child groups)
  • Useful for reporting (e.g., “Electronics → Mobile Phones → Samsung”)
  • Each stock item belongs to one group
  • Imported from Tally automatically during XML import

Units of Measurement

Define measurement units used across stock items.

  • Symbol — Short form (Nos, Kg, Ltr, Box, Pcs)
  • Compound units — Define conversion (1 BOX = 12 PCS) via base unit + conversion factor
  • GST UQC — GST Uniform Quantity Code for compliance reporting (NOS, KGS, LTR, etc.)
  • Decimal places — Precision for quantity display (0-4 decimals)

Godowns (Warehouses)

Track stock across multiple storage locations.

  • Hierarchical — Parent-child godown structure (Main → Section A → Shelf 1)
  • Address fields — Full address for dispatch documentation
  • Primary godown — Default location for new transactions
  • Per-godown stock — Track quantities separately per location

Batch Tracking

Track stock at batch/lot level for items with expiry dates or manufacturing batches.

  • Batch Number — Unique per stock item
  • Manufacturing Date — When the batch was produced
  • Expiry Date — For FEFO (First Expiry First Out) logic
  • Per-godown batches — A batch can be tracked within a specific warehouse

Stock Journals

Record stock movements that aren't tied to sales/purchase invoices.

Journal Types

  • Transfer — Move stock between godowns (OUT from source, IN to destination)
  • Manufacturing — Consume raw materials (OUT) and produce finished goods (IN)
  • Adjustment — Physical stock count correction (increase or decrease)

Journal Entry Fields

  • Direction (IN or OUT)
  • Stock item, godown, batch (optional)
  • Quantity and rate
  • Auto-creates InventoryTransaction records

Inventory Transactions

Every stock movement is recorded as an InventoryTransaction. These are created automatically when:

  • Sales Invoice posted → OUT transaction per item
  • Purchase Invoice posted → IN transaction per item
  • Credit Note → IN (goods returned)
  • Debit Note → OUT
  • Stock Journal saved → IN + OUT per the journal type
  • Delivery Challan dispatched → OUT
  • GRN received → IN

Stock Reports

  • Stock Summary — Current position: opening + inward − outward = closing, per item
  • Stock Item Transactions — Full movement history for a single item
  • Godown-wise Stock — Stock levels per warehouse
  • Reorder Report — Items below their reorder threshold
